How to Choose the Right Office Copier for Your Business

Buying or leasing an office copier is one of those decisions that looks simple until you start comparing models — and then suddenly there are dozens, all with different speeds, trays, and acronyms. This guide cuts through it. Answer five questions and you’ll know exactly what to look for.

1. How much do you print each month?

Print volume is the single most important factor. Copiers are built for volume bands — a machine designed for 2,000 pages a month will struggle (and wear out) if you push 20,000 through it, while a high-volume machine is overkill and overpriced for a small team.

Rough guide:

  • Small office (up to ~5,000 pages/month): a compact multifunction copier is plenty.
  • Mid-size office (~5,000–20,000): a mid-range multifunction with faster speeds and bigger trays.
  • High volume / print room (20,000+): a high-speed machine, or step up to a production print system.

If you’re not sure of your volume, your current machine’s meter reading will tell you.

2. Colour or mono?

If most of your printing is documents, invoices and internal paperwork, a mono (black & white) copier is cheaper to lease and run. If you print marketing material, presentations or anything client-facing, you’ll want colour.

3. What speed do you need?

Copier speed is measured in pages per minute (ppm). A busy team standing at the machine waiting for pages loses real time. As a rule: the more people sharing it and the higher your volume, the faster it should be. For a handful of users, 25–35 ppm is comfortable; for a whole floor, look higher.

4. Which features actually matter to you?

Modern multifunction copiers do far more than copy. The features worth paying for are the ones you’ll genuinely use:

  • Scanning workflows — scan-to-email, scan-to-folder, searchable PDFs.
  • Finishing — stapling, hole-punch, booklet-making if you produce reports or manuals.
  • Paper handling — extra trays and larger formats if you print on mixed stock.
  • Security — secure print release, user PINs, and encryption (essential if you handle sensitive data).

Don’t pay for finishing you’ll never touch — but do get the security features. They cost little and protect a lot.

5. What happens when it breaks?

This is where a lot of buyers get caught out. A copier is only as good as the support behind it. Before you sign, ask:

  • What’s the guaranteed response time when something goes wrong?
  • Are parts, toner and callouts included?
  • Is service nationwide, or only in one area?

A slightly cheaper machine with slow, patchy support will cost you far more in downtime than you saved.
