Not all paper shredders destroy documents the same way, and the difference matters more than most offices realise — especially if you’re shredding anything with a client’s name, ID number, or banking details on it. Here’s what actually separates a straight-cut shredder from a cross-cut one, and how to know which your office needs.
The two cut types, in plain terms
Straight-cut (also called strip-cut) slices paper into long vertical strips. It’s fast and simple, but a determined person could, in theory, piece strips back together. It’s rated P-2 under the international shredder security standard — fine for general office paper that isn’t sensitive.
Cross-cut shreds paper both vertically and horizontally, turning a page into small confetti-like particles instead of strips. It’s rated P-4, and it’s what most security guidance recommends as the minimum for anything containing personal information.
What “P-4” actually means
Shredder security runs on an international scale, P-1 (least secure) to P-7 (most secure), under ISO/IEC 21964 (DIN 66399). Each level sets a maximum particle size the shredder is allowed to produce — the higher the number, the smaller the pieces and the harder the document is to reconstruct.
P-4 cross-cut is the widely recommended minimum for destroying documents with personal information, financial records, or client data. If your office handles invoices, ID copies, contracts, medical information, or anything with a name attached to a number, P-4 is the baseline you should be working to, not the ceiling.
So which does your office actually need?
- Shredding general internal paperwork, drafts, or non-sensitive documents? A P-2 straight-cut machine is enough, and it’s usually faster per page.
- Shredding anything with a person’s details on it — client records, HR files, financial documents, ID copies — you need P-4 cross-cut, minimum. This is the realistic baseline for most South African offices given POPIA obligations around protecting personal information.
In practice, most offices are better off standardising on cross-cut across the board rather than running two shredders and hoping staff pick the right one for the right document. One P-4 machine at the right size for your team removes the guesswork.
